What You Will Be Doing:

Providing a total support service to the fee earner to enable him/her to operate at optimum efficiency, including but not limited to the main responsibilities given below. The Conveyancing Assistant is expected to use a high degree of self-management and initiative.

Key Responsibilities:

  • To prepare correspondence and documents using digital dictation
  • To administer filing systems which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual
  • To prepare mail and enclosures for despatch
  • To arrange for all photocopying to be done
  • To make appointments, arrange meetings and maintain an up to date diary for the fee earner
  • To book and prepare the interview room for meetings as necessary and ensure that it is clear and tidy at the end of the meeting
  • To provide support to other secretaries as required
  • To provide guidance to junior and temporary secretaries as required
  • To attend clients both in person and on the telephone and to provide such communication in a professional and friendly manner in keeping with the practice’s standards for client care
  • To assist fee earner in the management of case load by dealing with file related queries either face to face or by telephone
  • To ensure that clients are dealt with efficiently and politely and that appropriate legal matters are raised with the fee earner
  • To answer internal telephone calls efficiently and politely and take messages, as necessary
  • To ensure that all internal methods, systems, policies and procedures are adhered to
  • To manage own work allocation, productivity and quality of work with minimum supervision
  • To undertake any specific training when required to do so and take responsibility for own self development
  • To ensure the confidentiality of all practice and client documentation and information
  • To promote the practice when and where possible
  • To maintain professional standards at all times
  • To carry out any other duties and responsibilities that may be required

Experience / Qualifications

We require a minimum of 2 years solid conveyancing experience from the start of a conveyancing transaction for a sale and purchase through to post completion work

Must have experience of dealing with the land registry, search providers and HMRC

Competent typing ability.

Skills / Person Specification

  • Excellent IT Skills with working knowledge of all MS applications especially Word
  • Have excellent organisational and communication skills
  • Be reliable and diligent, with good attention to detail
  • Self-motivation to work independently and as part of a team with a ‘can do’ attitude
  • Good interpersonal skills
  • A positive approach to working under pressure in a busy environment
  • Have a high level of confidentiality
