Role split between Coalville, LE67 and Coventry CV2

The Role

This exciting opportunity is perfect for a highly organised and proactive Executive Assistant who thrives in a fast-paced environment. You’ll play a vital part in ensuring the smooth operation of our business by supporting the Operations & Finance Manager across administration, compliance, HR, and office management.

Key Responsibilities:

  • Manage the Operations & Finance Manager’s diary, meetings, and appointments
  • Prepare agendas, take minutes, and track follow-up actions
  • Act as liaison with internal and external stakeholders
  • Oversee day-to-day office operations and coordinate with suppliers and contractors
  • Maintain accurate asset registers, including IT, vehicles, and equipment
  • Support procurement and inventory management
  • Assist with compliance documentation (PQQs, ISO, BAFE audits)
  • Help implement health & safety processes across both sites
  • Provide confidential HR support, including onboarding and secure record-keeping
  • Draft reports, correspondence, and presentations; coordinate company events

The Ideal Candidate

We are looking for a professional, detail-oriented individual who can manage multiple tasks while maintaining confidentiality and accuracy. You will be approachable, proactive, and driven to make an impact. About you:

  • Proven experience as an Executive Assistant, Office Manager, or similar
  • Excellent organisational and time-management skills
  • Strong written and verbal communication skills (in person, phone, email, and MS Teams)
  • High levels of integrity and discretion when handling sensitive information
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience in compliance documentation or external audits

Desirable skills include:

  • Facilities or asset management experience
  • Familiarity with HR and health & safety processes
  • Knowledge of finance or operations functions
